Who we are and how to contact us
Aesthetic Intelligence Limited is responsible for the personal information described in this notice. We are registered in England and Wales, company number 11371364. Our registered office is Unit 3D, 201 Talgarth Road, Hammersmith, London, W6 8BJ, United Kingdom.
For privacy questions, requests or complaints, email info@aestheticintelligence.co.uk, with “Privacy” in the subject, or write to our registered office.
What this notice covers
This notice covers our website, course enquiries, Facebook and Instagram lead forms, correspondence, bookings and course administration. It explains how we handle information provided directly by you or received from the platform through which you contact us. Clinical treatment, model assessments and patient records may require additional information and a separate clinical privacy notice. Please do not send patient-identifiable information, medical records or photographs through an advertising enquiry form.
Information we collect
- Your name, email address, telephone number if provided, and the contents of your enquiry or correspondence.
- The course and format you are interested in, your professional role, registration or eligibility information where requested, previous training and communication preferences.
- For advertising enquiries: the lead and form identifiers, campaign, ad set and ad identifiers or names supplied by Meta, submission time and referral information.
- Our follow-up records, including the team member handling your enquiry, contact attempts, acknowledgement status, booking outcome and relevant notes.
- For bookings: contact and billing information, course selections, transaction references, attendance and course-administration records. Payment services process payment information under their own arrangements.
- Website information such as IP address, browser/device information, pages viewed, referral source and cookie preferences. See our Cookie Policy for information about cookies.
Providing an enquiry is voluntary. We need enough contact information to reply. If required booking or eligibility information is missing, we may be unable to arrange the course or confirm your place. Providing information does not itself establish eligibility or reserve a place.
Why we use information and our lawful bases
- Responding to your request and arranging a booking: taking steps at your request before a contract, or performing our contract with you.
- Managing enquiries and service quality: our legitimate interests in assigning enquiries, keeping accurate correspondence, avoiding duplicate replies and checking that requests receive timely follow-up.
- Course administration and eligibility checks: performing our contract or taking steps before it, and our legitimate interests in providing appropriate training and maintaining reliable training records.
- Accounts, legal obligations and disputes: complying with applicable legal obligations and, where relevant, our legitimate interests in establishing, exercising or defending legal claims.
- Optional marketing: consent where required. A request for course information is not treated as blanket permission for unrelated marketing.
- Website security and measurement: our legitimate interests in protecting and understanding our services, and consent where required for cookies or similar technologies.
Meta enquiries and automatic acknowledgements
If you submit a Facebook or Instagram lead form, Meta provides your submitted details and associated lead information to us. Meta also handles information under its own Privacy Policy.
Our enquiry workflow can transfer your details through Zapier to a Google Sheets team tracker and send an acknowledgement through Gmail. We use the tracker to allocate enquiries, record the originating advertisement and manage a target of human follow-up within 24 hours. An automatic acknowledgement is confirmation of receipt, not a booking or eligibility decision. The enquiry workflow does not make a solely automated decision about your admission to training.
Who receives information
Information is available to team members and authorised service providers who need it for the purposes above. Depending on how you interact with us, these include website hosting and form services (Webflow), advertising platforms (Meta), automation services (Zapier), email and spreadsheet services (Google), course-delivery platforms (including Teachable), appointment services (including Calendly), email marketing services (including Klaviyo), payment providers, trainers and professional advisers. We may disclose information where required by law or reasonably necessary to protect legal rights. You can ask us which providers are relevant to your interaction.
Processing outside the UK
Some of these providers operate internationally, including in the United States, and information may be processed outside the UK. International processing must be covered by the applicable UK data-transfer requirements. Depending on the provider and arrangement, this may involve UK adequacy regulations or contractual safeguards such as approved standard clauses with the UK Addendum. Contact us for details of the transfer arrangements and safeguards relevant to your information, or to request a copy of the applicable safeguards.
How long we keep information
We assess retention according to the purpose of the record. Relevant factors include whether an enquiry is active or resolved, whether you book a course, the need to provide support or evidence training, applicable accounting and legal requirements, and any complaint or dispute. We do not intend to retain identifiable enquiry information indefinitely merely because an advertisement generated it. Records no longer needed for these purposes should be deleted or anonymised. A limited record of a marketing objection may be retained so that we can respect your preference.
Your choices and rights
You can ask for access to your information and request correction, erasure or restriction where applicable. You may also have a right to receive certain information in a portable form. Rights depend on the circumstances and the legal basis for processing. We may need to verify your identity before responding.
You can object at any time to direct marketing. You can also object to processing based on legitimate interests because of your particular situation. Email info@aestheticintelligence.co.uk to exercise these rights. Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of earlier processing. Marketing emails also provide an unsubscribe route.
You can complain to us using the contact details above. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
Changes to this notice
We will update this page when our handling of personal information changes and revise the date above. Where required, we will also bring significant changes to your attention directly.
